Terms and Conditions
These Terms and Conditions apply to services supplied by Funeral Videos UK, including funeral live streaming, funeral videography and visual tribute services.
By confirming a booking with us, you agree to the terms set out below.
1. Our Services
Funeral Videos UK provides professional video and streaming services for funerals, memorials and related events throughout the UK.
Depending on the service booked, this may include:
- Multi-camera funeral filming
- Funeral live streaming
- Professional audio recording
- Editing and production of recorded footage
- Online delivery of completed recordings
- Visual tribute videos and photo slideshows
- Display or incorporation of photographs and video material supplied by the family
- Additional filming at agreed locations
The exact services included in your booking will be detailed in your quotation, invoice or written confirmation.
2. Quotations and Bookings
Bookings may be arranged by telephone, email, text message or through our website.
Where details are initially discussed verbally, we will provide confirmation of the agreed service and price in writing.
A date is not considered fully secured until the required payment has been received, unless alternative arrangements have been specifically agreed with us in writing.
Unless otherwise agreed, payment should be made within 48 hours of accepting the booking. Until payment is received, we reserve the right to accept another booking for the same date.
Any additional work or services requested after the original quotation may result in additional charges.
3. Prices and Additional Costs
The price quoted will cover the services specifically agreed at the time of booking.
Additional charges may apply where the requirements change, including circumstances such as:
- Additional filming locations
- Extended attendance or filming time
- Additional editing
- Extra copies or delivery formats
- Additional equipment or crew requirements
- Parking or venue charges
Where parking charges are unavoidable, these may be invoiced after the service. We will make reasonable efforts to use free parking where practical.
4. Cancellations
If you wish to cancel a booking, please notify us as soon as possible by email or text message.
Unless otherwise agreed:
- Cancellations made more than 10 days before the service may be subject to a £100 administration charge.
- Cancellations made within 5 days of the service may be subject to a charge of up to 50% of the agreed booking value.
- Cancellations made within 24 hours of the service, or after work has commenced, will normally be non-refundable.
Cancellation charges reflect work already undertaken, preparation, administration and the loss of the reserved date.
Where applicable, your statutory consumer rights are unaffected.
For services booked at short notice and due to take place within any statutory cancellation period, you may be asked to confirm that you wish us to begin providing the service before that period has expired.
5. Cancellation by Funeral Videos UK
In the unlikely event that we are unable to fulfil a confirmed booking due to circumstances within our reasonable control, any payment made for services we are unable to provide will be refunded.
We will always make reasonable efforts to avoid cancellation and, where appropriate, may attempt to arrange suitable alternative cover.
Our responsibility will not extend beyond the remedies required by applicable law.
6. Changes to the Service
We understand that funeral arrangements can sometimes change at short notice.
Please notify us as quickly as possible if there is a change to:
- Date or time
- Venue
- Service duration
- Filming requirements
- Live-stream requirements
- Additional locations
We will make reasonable efforts to accommodate changes, but this is subject to availability and practicality.
Changes that materially increase the work, travel, equipment or time required may result in a revised quotation.
7. Delays and Circumstances Beyond Our Control
We cannot guarantee against disruption caused by circumstances outside our reasonable control.
These may include, for example:
- Serious traffic disruption
- Road closures
- Severe weather
- Illness or emergency
- Venue restrictions
- Power failures
- Telecommunications failures
- Public disorder
- Industrial action
- Government or legal restrictions
- Other events that could not reasonably have been anticipated or prevented
Where such circumstances occur, we will make reasonable efforts to minimise their effect on the service.
8. Filming and Venue Permissions
The client is responsible for ensuring that the appropriate venue, officiant, celebrant or other relevant person has permitted filming or live streaming.
We are happy to cooperate with venue representatives and will follow reasonable instructions regarding camera placement, equipment and access.
If filming or streaming is prevented or restricted because the necessary permission has not been obtained, we cannot guarantee that the booked service can be completed and a refund may not be available.
9. How We Film
We aim to work discreetly and respectfully throughout every service.
Although we welcome requests from the family regarding particular moments or people they would like included, the positioning and operation of cameras, microphones and other equipment will ultimately be determined by our crew based on:
- The venue layout
- Safety
- Restrictions imposed by the venue
- Lighting and sound conditions
- The movement of attendees
- Technical considerations
We will make every reasonable effort to accommodate client requests but cannot guarantee that every requested shot or moment will be captured.
10. Live Streaming
Funeral live streaming depends upon internet and mobile network connectivity.
We use professional equipment and multiple mobile network connections where appropriate to maximise reliability. However, internet connectivity can never be guaranteed completely.
Signal strength and performance can be affected by:
- Venue construction
- Geographic location
- Mobile network congestion
- Temporary network outages
- Weather
- External infrastructure problems
For this reason, services are also recorded locally wherever possible.
If the live connection is interrupted, the locally recorded version can be made available as soon as reasonably practical after the service.
Technical problems outside our reasonable control do not automatically entitle the client to a full or partial refund where the underlying filming and recording service has otherwise been provided.
We are also unable to accept responsibility for problems affecting an individual viewer’s equipment, internet connection, network provider or geographical access restrictions.
11. Private Online Viewing
Where a private live stream is included, the client will normally receive a viewing link and password.
It is the client’s responsibility to decide who receives these details.
Unless otherwise agreed, recordings hosted by Funeral Videos UK will remain available online for a minimum of one year.
We may change the technical platform used to host recordings provided that reasonable access to the client’s media is maintained.
12. Editing and Delivery
Where editing is included, completion times can vary according to the service booked and our workload.
We will advise clients of the expected delivery period where appropriate.
Completed recordings and other media are normally supplied digitally using a private or downloadable link.
Physical media may be available where agreed and may incur an additional charge.
Minor editorial decisions, including camera selection, transitions, sound balancing, colour correction and the removal of unusable footage, are made at our discretion as part of the production process.
13. Visual Tributes and Client-Supplied Material
Where photographs, music, video clips or other material are supplied to us for inclusion in a tribute or production, the client confirms that they have the necessary permission to provide and use that material.
We will take reasonable care when handling supplied photographs and digital files but recommend that clients retain their own copies of all original material.
The quality of the finished tribute may be affected by the quality or resolution of material supplied to us.
14. Copyright and Personal Use
Unless otherwise agreed, Funeral Videos UK retains copyright in footage and productions created by us.
The client is granted permission to download, view and share the completed material for personal and family use.
Content supplied by the client remains the property of its respective owner.
Commercial use, resale, republication or licensing of our work to third parties requires our prior written permission.
15. Promotional Use
Because of the private and sensitive nature of funeral services, we will not assume that footage may be used publicly simply because we created it.
Where we wish to use photographs, footage or extracts for portfolio, website, social media or promotional purposes, appropriate permission will be obtained where required.
Clients may tell us at any time that they do not want material from their service used for promotional purposes.
16. Behaviour and Safety
Our staff are entitled to work in a safe environment.
We reserve the right to suspend or stop providing services where our staff encounter threatening, abusive, dangerous or unlawful behaviour.
Where a service cannot reasonably continue because of such behaviour, a refund may not be available.
17. Data Protection
We process personal information in accordance with UK data protection law.
Details of the information we collect, how it is used and your rights are explained in our Privacy Policy.
Funeral Videos UK does not sell personal information to third parties.
Some information may be processed by trusted service providers where necessary to deliver our services, operate our website, process payments or host digital media.
18. Contractors and Additional Crew
Where appropriate, we may use suitably experienced photographers, videographers, camera operators or other professionals to assist us.
Any person working on our behalf will be expected to follow our professional standards and requirements.
19. Limitation of Liability
We will exercise reasonable care and skill in providing the services agreed.
Where we are responsible for a loss, our liability will normally be limited to losses that were reasonably foreseeable and directly connected with the services supplied.
Nothing in these Terms excludes or restricts liability where doing so would be unlawful, including liability for death or personal injury caused by negligence, fraud or other liability that cannot legally be excluded.
Subject to those rights, our total liability arising from a booking will normally not exceed the amount paid to us for the affected service.
20. Your Statutory Rights
Nothing in these Terms affects any rights you have under applicable UK consumer law.
If any part of these Terms is found to be unenforceable, the remaining provisions will continue to apply.
21. Governing Law
These Terms are governed by the laws of England and Wales.
Any dispute relating to these Terms or services provided by Funeral Videos UK will be dealt with by the courts having jurisdiction under the applicable laws of England and Wales.
